Onboarding with Our Website Development Services

This documentation is a comprehensive and streamlined resource designed to facilitate the ordering process for our website development packages. This documentation provides a clear and systematic framework, ensuring effective communication between our clients and our team. It encompasses initial brief submission, quote request creation, access to client portal materials, payment procedures, and guidelines for providing content. This documentation aims to enhance the efficiency and transparency of our services, allowing clients to understand and navigate the process with ease while maintaining professionalism and precision throughout.

1. Providing The Initial Brief

To streamline the process of ordering a website development package, we request that customers provide us with a comprehensive brief. This brief should consist of the following components:

  • Company Introduction: An introduction to your company, outlining its background and core values.
  • Aim/Purpose of the website: Clearly define the purpose or objective of the website.
  • Target Audience: Specify the intended audience for the website, such as customers, employees, investors, or other relevant groups.
  • Expected Success Factors: Clearly outline the anticipated success factors for the website. What results or outcomes are you aiming for?
  • Development Dates: Provide your requested start and completion dates to ensure we can accommodate your schedule.
  • Functionality Brief: Provide your complete functionality brief including all features you need your website to have.
  • Design Brief: Provide a detailed design brief if you are purchasing a design package, or links to 3 websites you like and details of what it is you like about them if you are not ordering a design package.

2. Quote Request Creation

Upon receiving the above information, we will collaborate with you to better understand your objectives. Together, we will develop a final quote request, which will encompass all necessary information. The price will be determined based on these specifics. It is essential that the client communicates all project requirements at this stage, as any requests beyond the scope of this document will result in separate billable charges.

3. Client Portal Access And Agreement

Once the quote request is established, we will create a user account for you in our client portal. Within this portal, you can access essential documents, including:

  • Quote: This document outlines the project's estimated cost based on provided specifics.
  • Statement of Work: A comprehensive document that details the scope of the project, including schedules and deadlines.
  • Agreement: The contract containing all terms and conditions and responsibilities.

You should thoroughly review these documents before accepting the quote. The timelines set out in these documents are the exact timelines included in the price. Any delays that are not due to our actions will result in additional charges.

4. Invoice And Payment Terms

Upon your acceptance of the quote, the system will generate an invoice and establish payment installments. In some instances, such as special offers, full payment will be due upfront. The typical format comprises an initial deposit payment upon acceptance, with the remaining balance due upon project completion. However, alternative payment plans can be arranged for larger projects.

5. Text And Images

We will need all required text, images and information that is to be added to your website to be provided to us no later than 5 days after accepting the statement of work. This is to ensure that there are no delays with us meeting the agreed upon timelines outlined in the statement of work and quote.  Please refer to our text and images guide to ensure you provide everything we need correctly allowing us to complete your website.

6. Change Nameservers On Your Domain

For us to begin work, your domain will need to be hosted on our servers unless you have purchased a license that allows for external hosting. At this stage you'll need to change the nameservers of your domain. Please follow our detailed nameservers guide to find out how to change your nameservers.

7. Development Stage

The development stage is where the magic happens. Our skilled development team begins working on your project, bringing your vision to life. This phase includes database setup, coding, and the creation of custom features, ensuring your website is tailored to your needs. Regular updates and progress reports will keep you in the loop.

8. Design Stage

In the design stage, your website starts to take on a visual identity. If you have purchased a design package we will now proceed to create the designs based on your design brief. If you have not purchased a design package, we will base the design of your website on the three examples and information you provided us. 

9. Review Stage

As your website reaches completion, we enter the review stage. Here, you will be expected to thoroughly examine and test the website and provide feedback. Your statement of work will specify how long you have to complete this process and how many change requests you are entitled to under our agreement. 

Any bugs identified during this process will be fixed free of charge, however, it is important to remember that any requests outside of the statement of work will require a new quote request and cannot delay the completion of the existing statement of work.

10. Go Live

The final step is the much-anticipated go-live phase. This is when your website is launched, making it accessible to your target audience. We handle the technical aspects, ensuring a seamless transition from development to a live website. Your digital presence is now officially in motion, ready to make an impact. 

If you need to delay the website going live for more than one month after development has been completed we will close off the project until you are ready, however, please bare in mind that this will require a quote to be created for the work to be done that is outside of the originally agreed timeline.
